Best Extreme Cleaning Ottawa ("we", "us", "our") provides extreme cleaning and property restoration services across Ottawa, Eastern Ontario, and the Gatineau region. Much of our work involves sensitive personal circumstances, so we treat client information with the same discretion we apply on site.

1. Information we collect

We collect information you give us directly, including:

  • Name, phone number, email address, and the service address
  • Details of the situation you describe when requesting an assessment or quote
  • Insurance carrier, policy, and claim details where you ask us to bill a claim directly
  • Executor, power of attorney, or property manager contact details where a third party is coordinating the work
  • Site photographs and written documentation created during assessment and work, used for scoping, insurance, and disposal records
  • Communication history relating to your project

Payment is processed by third-party providers. We do not store full credit card numbers on our systems.

  • To assess, quote, schedule, and carry out the work you request
  • To communicate with you about your project, including callbacks and scheduling
  • To bill you or, on covered claims, to bill your insurance carrier directly
  • To meet our record-keeping obligations for waste manifesting and disposal under Ontario law

3. Discretion and site confidentiality

Our crews do not discuss your property, your circumstances, or the nature of the work with neighbours, passers-by, or anyone else who asks. Site photographs are used for scoping, insurance, and internal records. We do not publish identifiable client property images, addresses, or client scenes in our marketing.

4. Information sharing

We do not sell your personal information. We may share it with:

  • Your insurance carrier or adjuster where you have asked us to bill or document a claim
  • Licensed waste receiving facilities, limited to the manifest information required by regulation
  • Subcontractors or specialist partners engaged on your project, bound to the same confidentiality
  • Professional advisors such as lawyers and accountants
  • Authorities where disclosure is required by law, including police and coroner coordination on trauma scenes

5. Data retention and security

We keep project records for as long as needed to serve you, resolve any dispute, and satisfy legal, insurance, and waste-manifest record-keeping requirements. We apply reasonable administrative and technical safeguards to protect personal information against unauthorised access, use, or disclosure.
